Executive Committee - Powers and Duties

 

DUTIES AS DESCRIBED BY THE CONSTITUTION

 

 Executive Committee - Powers and Duties:

                

The Regional Chairperson (RC)

 

1)To lead and coordinate activities of the AMSA Executive Board hereafter referred to as EB.

2)To convene and preside over all meetings.

3)To form the necessary committees that shall initiate the activities of AMSA and to appoint a chairperson for the respective committees.

4) To officially represent AMSA.

5) To exercise discretionary powers in situations that require immediate decisions and actions, provided that it is not contrary to the objectives of the association and provided that he/she informs the member chapters not later than two months after the said decision/action was done, to be ratified by the Executive Board.

6)  To preside over the elections for the incoming EB.

7) To ensure a smooth handover of all affairs of the current EB to the incoming EB.

8) To assist and act as an ex-official adviser to the incoming set of officers.

 

     

The Vice President – Internal (VPi)

 

1) Represent the RC in the absence of the RC for internal matters relating to the executive board, leadership and online meetings.

2) Support the RC with internal matters relating to the executive board, accountability and support for executive members.

3) Provide support and strategy to executive officers.

4)  Provide a point for grievances to be properly investigated.

5) To take over the responsibilities and authorities of the Regional Chairperson in times of his/her absence.

6) To officially represent the association with the Regional Chairperson.

7) Cooperating in partnership with the Regional Chairperson to lead the Executive Board.

8) To give input to the Regional Chairperson as making any decision for development of AMSA.

 

     

The Vice President – External (VPe)

 

1) Represent the RC in the absence of the RC to external organizations and to AMSA International.

2) Support the RC in representing the organization.

3) Provide support and strategy particularly to MnD, development and new partners.

4) To take over the responsibilities and authorities of the Regional Chairperson in times of his/her absence.

5) To officially represent the association with the Regional Chairperson.

6) Cooperating in partnership with the Regional Chairperson to lead the Executive Board.

7) To give input to the Regional Chairperson as making any decision for development of AMSA.

      


The General Secretary (GS)

 

1)To take down the minutes of regular meetings of the EB.            

2)To assist the Regional Chairperson and Vice Chairpersons in ensuring that meetings are run smoothly.

3)To keep and safeguard all official files and documents of the Association.

4)To continually update all files of AMSA by securing relevant material or reports.

5)To assist the Regional Chairperson and Vice Chairpersons, in compiling official documents and reports.

6)To respond to emails to the Association and direct them to the EB member(s) concerned if necessary.

7)To initiate contact with organizations which are currently not affiliated with the Association, if necessary.

8)To collect and file the yearly progress reports from all respective EB members.

 


The Secretary for Membership and Development (MnD)


1)To formulate the requirements for membership and enlist the membership.

2)To formulate and update the membership regulations of the Association.

3)To coordinate and maintain contact with State Heads of all member chapters.

4)To make recommendation for revocations of membership in the event of violations of the constitution.

5)To promote membership of new member chapters.

6)To promote and open activities purposed for the development and welfare of the members.

7)To facilitate the appointing of Executive members, State Heads, College representatives in new member chapters, working in close collaboration of the RC.

8)To coordinate and promote public welfare activities intended for further development of the Association.

 


The Secretary of Finance (SoF)

 

1)To take charge of the collection of fees and other obligations from the State Heads and College Representatives responsible for the collection from their local branch along with the Secretary for Membership and Development.

2)To recommend fund-raising programs to the Executive Board.

3)To be responsible for the implementation and coordination of approved charity and fund-raising programs.

4)To keep records of all funds and expenses.

5)To disburse funds necessary for the operation of the AMSA upon discretion of the Executive Board.

6)To prepare annual report on the financial status of the association.

7)To safeguard all funds of AMSA.

 


The Secretary for Promotions and Publications (PnP)

 

1)Cooperate with IT Secretary and General Secretary to update the official websites and pages.

2)Is responsible for the printing of official publications and documents of the Association.

3)To work in close coordination with the Secretary and  Chief Editor of the Official AMSA Newsletter in promoting the Association to medical students.

 


The Secretary of Academics (SoA)

 

1)To lead and coordinate the  Academic Activities of AMSA, and their publication in leading national and international medical journals. This project should try to include as many member chapters as possible, in processes such as research and review.

2)To promote and facilitate the intra-national and international sharing of medical/health information and subsequent exploration and discussions.

3)To support and encourage academic excellence and provoke thought and research amongst AMSA members through regular academic content in the AMSA Newsletter.

4)To oversee the Academic Council, supporting these State/ College representatives in their academic projects and assisting them wherever appropriate and possible.

5)To ensure the publication of the winning paper and poster presentations from the AMSA conferences in the next AMSA newsletters, encouraging ongoing learning amongst members.

6)To create and coordinate any other relevant projects or activities that aim to promote awareness of international health issues among members of AMSA.                                                       

          


The Information and Technology Officer (IT)

 

1)To be in charge of the development and maintenance of the official website, while collaborating with the General Secretary in publishing and updating of its content.

2)To work in close coordination with the Chief Editor of the Official AMSA Newsletter in promoting the Association to medical students.

3)To regularly reporting web usage and monitoring tuning server performance.

4)To initiate activities that will improve the IT skills of the members of the EB.

5)To recruit manpower when necessary in discussion with the Sec. for Promotion and Publication.

 


Director for Asian Medical Student Exchange Program (AMSEP)

 

1)To direct and encourage exchange student program, AMSEP,  among the other chapter countries of AMSA International.

2)To create a suitable and systemize structure of exchanging medical students among AMSA members or any non-AMSA member chapters.

3)To be responsible for the implementation of AMSEP activities.

4)To facilitate every member of AMSA to fulfill their need in   involving AMSEP activities.

5)To regularly update the EB on the progress of AMSEP.

 


Secretary for Marketing and Sponsorship (MnS)

 

1)To organize sponsorship and to conduct fund-raising activities for the Association.

2)To maintain contact and record of any sponsors of the Association.

3)To contact the media to promote the association.

4)To initiate contact with organizations that do not have existing affiliations with AMSA, working in close collaboration with the General Secretary and Secretary for Partnerships.

5)To participate in conferences or meetings of organizations that the Association currently liaises with and represent AMSA.



Secretary for Partnerships (SoP)


1)To maintain contact and record of any partners of the Association.

2)To initiate contact with organizations that do not have existing affiliations with AMSA, working in close collaboration with the General Secretary and the Secretary for Marketing and Sponsorship.

3)To participate in conferences or meetings of organizations that the Association currently liaises with and represent AMSA.

4)To organize events for furthering the collaboration with the organizations that the association currently liases with.

 

 

Secretary for Cultural Affairs (SoCA) 


1)To assist and help organise the Cultural event for the country performance for the biannual conferences AMSC/EAMSC.

2)To appoint necessary coordinators for the performance in AMSC/EAMSC out of the delegates.

3)To attend and assist in the practice sessions for the Cultural performance.

4)To organise the cultural program for the AMSA events conducted by the respective chapters.

5)To appoint representatives in the respective chapters and to maintain their records.

6)To assist in preparing the quarterly/annual report on the events conducted by the Association.

7)To work in close collaboration with the other secretaries in organizing events.

                 


Secretary for Newsletter(SoN)


1)To assist in screening and selecting the academic content for the Newletter in close coordination with the Chief Editor of Newsletter.

2)To help in designing and formatting the newsletter.

3)To call for academic content for the quarterly AMSA newsletter.

4)To support and encourage academic excellence and provoke thought and research amongst AMSA members through regular academic content in the AMSA Newsletter.

5)To ensure the publication of the winning paper and poster presentations from the AMSA conferences in the next AMSA newsletters, encouraging ongoing learning amongst members.

                 


Chief Editor of Newsletter(CEN)

 

1)To assist in screening and selecting the academic content for the Newletter in close coordination with the Secretary of Newsletter.

2)To help in designing and formatting the newsletter.

3)To have the necessary editorial skills, management skills and knowledge about the working of the Newsletter.

4)To proof read the articles prior to their publication in the Newsletter.

5)To appoint state/ college ambassadors for contribution to the Newsletter on the basis of their administrative skills, motivation and dedication in close coordination with the Regional Chairperson and the Secretary of Newsletter.
